BOOKING TERMS & CONDITIONS

These Terms and Conditions ("Agreement") govern all bookings made with Bespoke Compass Travel, LLC ("Bespoke Compass," "we," "us," or "our"), a Delaware limited liability company affiliated with Fora Travel. This Agreement constitutes a binding contract between Bespoke Compass Travel, LLC and you, the participant ("you" or "Participant"). By paying a deposit or completing a booking, you confirm that you have read, understood, and agree to these terms in full.
Please note: This Agreement does not constitute legal advice. We strongly recommend consulting a qualified attorney regarding any provisions you do not understand. Bespoke Compass Travel, LLC is affiliated with Fora Travel, which maintains its own terms, policies, and insurance coverage applicable to bookings made through its platform.
1. BOOKINGS & CONFIRMATION
A booking is confirmed when you have submitted your registration, paid your required deposit, and received a written booking confirmation from Bespoke Compass Travel. No contract exists between us until that written confirmation is issued.
Please review your confirmation carefully and notify us of any errors within 10 days of receipt. By booking on behalf of other travelers in your party, you confirm that you have the authority to do so and that all members of the party agree to these Terms in full.
2. PAYMENTS & PRICING
Payment schedules will be outlined on the booking registration page and in your written confirmation. All prices are quoted in US dollars unless otherwise stated. Bespoke Compass Travel reserves the right to correct pricing errors prior to the issuance of a booking confirmation. Once a booking is confirmed in writing, your trip price will not change except in cases of significant currency fluctuations, government-imposed taxes, or other costs beyond our control, of which you will be notified promptly.
3. CANCELLATION POLICY
Cancellation by You
All cancellations must be submitted in writing to deirdre.schwiring@fora.travel. Cancellations are effective from the date we receive written notice. The following schedule applies:
More than 90 days before departure: Deposit is non-refundable. 40% of the remaining balance paid is refundable.
61 to 90 days before departure: Deposit is non-refundable. 25% of the remaining balance paid is refundable.
60 days or fewer before departure: No refund will be issued.
Initial deposits are non-refundable and non-transferable under any circumstances. If the reason for your cancellation is covered under the terms of a travel insurance policy you have purchased, you may be able to reclaim applicable charges through your insurer.
If you are unable to travel, you may transfer your spot to another eligible participant with a minimum of 14 days written notice, subject to our approval and an administrative fee of $50. The transferee must agree to these Terms in full prior to the transfer being confirmed.
Health-Related Cancellations
Bespoke Compass Travel strongly recommends that all participants purchase comprehensive travel insurance, including coverage for trip cancellation due to illness, injury, or other health-related circumstances. If you need to cancel due to a personal health matter, any refund will be governed solely by the cancellation schedule above.
If you have purchased travel insurance that includes health-related cancellation coverage, you may be entitled to reimbursement through your insurer. It is your responsibility to file any such claim directly with your insurance provider. Bespoke Compass Travel is not responsible for and cannot guarantee reimbursement of any trip costs through a third-party insurer.
In the event of a government-declared public health emergency, mandatory quarantine order, or travel ban that directly prevents travel to the trip destination, Bespoke Compass Travel will work in good faith with participants to explore options including rebooking, trip credit toward a future experience, or refund of recoverable funds net of non-refundable supplier costs. Bespoke Compass Travel cannot guarantee full refunds in such circumstances and is not liable for costs that have already been committed to third-party suppliers.
Cancellation by Bespoke Compass Travel
We reserve the right to cancel a trip if the minimum required number of participants is not met, or in circumstances beyond our control. In such cases, you will be offered an alternative departure date, a credit toward a future trip, or a full refund of monies paid directly to Bespoke Compass Travel. We are not responsible for any additional costs you may have incurred independently, including non-refundable flights, personal travel expenses, or visa fees.
4. TRAVEL INSURANCE
Comprehensive travel insurance is strongly recommended for all participants and is required as a condition of booking. At minimum, your policy should cover trip cancellation and interruption, emergency medical expenses and evacuation, lost or delayed baggage, personal liability, and health-related cancellation as described in Section 3 above.
Proof of insurance may be requested prior to departure. Bespoke Compass Travel accepts no liability for any loss, cost, or expense that would have been covered by adequate travel insurance. We are not affiliated with any insurance provider and do not receive compensation for insurance recommendations.
5. ITINERARY & CHANGES
The itinerary provided at the time of booking is a guideline and is not contractually binding in its specific details. Bespoke Compass Travel reserves the right to modify, substitute, or cancel any elements of the itinerary at any time, including accommodations, restaurants, activities, and transportation, due to circumstances including but not limited to weather, supplier cancellations, local conditions, safety concerns, or events beyond our control.
Every effort will be made to maintain the spirit, quality, and value of the experience. No refunds will be issued for individual itinerary modifications made in good faith.
6. TRAVEL DOCUMENTS & HEALTH REQUIREMENTS
It is your sole responsibility to ensure that your passport, visa, and any required health documentation are valid and in order prior to departure. Passports must generally be valid for a minimum of six months beyond your scheduled return date, though requirements vary by destination and nationality.
Bespoke Compass Travel accepts no liability for denied boarding, missed travel, costs of alternative arrangements, or any other loss resulting from your failure to comply with applicable entry or health requirements. Any specific dietary needs, allergies, or health conditions that may affect your participation must be disclosed to us in writing at the time of booking.
7. PARTICIPANT CONDUCT
All participants are expected to treat fellow travelers, Bespoke Compass Travel staff, guides, vendors, and members of the local community with respect and courtesy throughout the trip. Bespoke Compass Travel reserves the right to remove any participant from a trip at any time, at the participant's own expense and without refund, if their conduct is deemed disruptive, unsafe, offensive, or otherwise harmful to the experience of others.
8. ACKNOWLEDGEMENT OF RISK
Travel involves inherent risks, many of which are outside our control. By booking with Bespoke Compass Travel, you acknowledge and voluntarily accept that such risks exist, including but not limited to: acts of God, severe weather events, political instability, illness or injury, pandemic or public health emergency, terrorism, civil unrest, transportation delays or failures, and the acts or omissions of independent third-party suppliers.
You confirm that you are in good physical and mental health and are aware of the general requirements of the trip. If you have any medical condition, disability, or other circumstance that may affect your ability to participate safely, you must disclose this to us in writing prior to booking. Bespoke Compass Travel and its affiliated host agency Fora Travel shall not be held liable for any resulting injury, loss, damage to property, or other harm arising from risks inherent to travel.
9. THIRD-PARTY SUPPLIERS & LIMITATION OF LIABILITY
Bespoke Compass Travel, LLC acts as an organizer and coordinator of travel experiences and works with independent third-party suppliers, including hotels, restaurants, transportation providers, guides, and activity operators (collectively, "Suppliers"). Bespoke Compass Travel is affiliated with Fora Travel, which may also facilitate certain bookings on your behalf.
Bespoke Compass Travel is not responsible for the acts, errors, omissions, representations, warranties, or negligence of any Supplier, nor for any personal injury, property damage, death, loss, or additional expense arising from services provided by them. Each Supplier's own terms and conditions apply to their respective services.
In no event shall Bespoke Compass Travel's total liability to you exceed the total amount paid by you directly to Bespoke Compass Travel for the trip in question. We are not liable for indirect, incidental, consequential, or punitive losses of any kind.
10. PHOTOGRAPHY & MEDIA CONSENT
Bespoke Compass Travel and its team may photograph or record video during trips for use in marketing materials, social media, website content, and other promotional purposes. By participating in a Bespoke Compass Travel experience, you grant Bespoke Compass Travel, LLC a royalty-free, non-exclusive, perpetual license to use images and footage in which you appear for such purposes, without further compensation.
If you do not wish to be included in photography or video content, please notify us in writing prior to the start of the trip and we will make reasonable efforts to accommodate your preference.
11. PRIVACY & DATA
Your personal information will be used solely for the purposes of organizing, communicating about, and delivering your trip experience. We will share relevant details with third-party Suppliers and our host agency Fora Travel only as necessary to fulfill your booking. We will not sell your personal data to unrelated parties. 12. EVENTS BEYOND OUR CONTROL
Bespoke Compass Travel shall not be liable for any failure or delay in performance resulting from circumstances beyond our reasonable control, including but not limited to acts of God, natural disaster, pandemic or epidemic, government action or travel restrictions, war, terrorism, civil unrest, industrial action, or infrastructure failure. In such circumstances, we will work with you in good faith to identify the best available resolution, which may include rebooking, trip credit, or a partial or full refund of recoverable funds.
13. GOVERNING LAW & DISPUTE RESOLUTION
This Agreement shall be governed by and construed in accordance with the laws of the State of Delaware, without regard to its conflict of law provisions. Any dispute arising from or relating to this Agreement or your booking shall be subject to the exclusive jurisdiction of the courts of the State of Delaware.
We encourage you to contact us directly at deirdre.schwiring@fora.travel to resolve any concern before pursuing formal action. We are committed to addressing issues promptly and in good faith.
14. ENTIRE AGREEMENT & SEVERABILITY
This Agreement constitutes the entire agreement between you and Bespoke Compass Travel, LLC with respect to your booking and supersedes all prior communications, representations, or understandings, whether written or oral. If any provision of this Agreement is found to be invalid or unenforceable under applicable law, the remaining provisions shall continue in full force and effect.
By completing your booking and submitting your deposit, you confirm that you have read, understood, and agree to these Terms and Conditions in their entirety, on your own behalf and on behalf of any party members included in your booking.
